This Privacy Policy describes how JobScoutify ("JobScoutify," "we," "us," or "our") collects, uses, discloses, and otherwise processes personal information in connection with the website, applications, and related services that link to this policy (collectively, the "Services"). By accessing or using the Services, you acknowledge this Policy. If you do not agree, please discontinue use.
1. Data controller and scope
The entity responsible for personal information processed through the Services is the organization operating JobScoutify under the laws of its place of establishment. Where applicable law requires identification of a controller, inquiries may be directed to the contact at Section 14. This Policy applies to information processed online through the Services and does not govern offline activities unrelated to the Services unless expressly stated.
2. Categories of information we collect
Depending on how you use the Services, we may collect or receive:
- Account and contact data. If you create an account or communicate with us, identifiers such as name, email address, or similar contact details you provide.
- Resume and career content. Files or text you upload or paste (for example, résumés, CVs, bios, project descriptions), plus derived structured fields produced by our systems (such as parsed skills or query terms).
- Job search inputs. Job titles, companies, locations, preferences, job descriptions you paste, and similar fields used to tailor search or generated documents.
- Generated outputs. AI-produced cover letters, resumes, or scores that are returned to your session.
- Technical and usage data. IP address, device and browser type, general location inferred from IP, timestamps, pages viewed, referring URLs, diagnostic logs, and identifiers stored in cookies or similar technologies.
- Approximate rate-limiting identifiers. We may process IP address or a derivative to enforce request limits and abuse prevention (for example, via Redis-based rate limiting).
We ask that you do not submit sensitive categories of personal data (such as government identifiers, health information, or information revealing racial or ethnic origin) unless strictly necessary and lawful; if you do, you consent to our processing solely to provide the feature you invoked.
3. Sources of information
Information originates from:
- You, when you type, upload, or otherwise submit content;
- Automatic collection through cookies and similar technologies; and
- Third-party job data providers when we retrieve listings you request (see Section 6). Those listings may contain business contact information of employers, not your personal dossier.
4. Purposes and legal bases
We process personal information for the following purposes, as permitted by applicable law:
- Providing the Services—to parse resumes, search and rank jobs, generate documents, cache results to improve performance, enforce technical limits, and display outputs.
- Security and integrity—to detect abuse, fraud, and protect users and infrastructure.
- Analytics and improvement—to understand feature usage and improve models and workflows in aggregated or de-identified form where feasible.
- Compliance—to meet legal obligations and respond to lawful requests.
Where the GDPR or UK GDPR applies, we rely on contractual necessity, legitimate interests (balanced against your rights), and, where required, your consent for non-essential cookies or marketing (if offered).
5. Artificial intelligence processing
Certain features transmit user-provided text to an enterprise AI provider (for example, Anthropic) to generate structured responses. That provider processes data under its agreement with us and, where applicable, as a processor or sub-processor. We configure services to use content for operational purposes; you should assume prompts and context you supply may be processed on provider systems subject to their documentation and our contractual safeguards. Do not include secrets, passwords, or highly sensitive personal data in prompts.
6. Third-party services and recipients
We engage vendors who process information on our behalf, including hosting providers (for example, Vercel), database or cache infrastructure (for example, Upstash Redis), analytics, and job listing data APIs (for example, employment aggregators). Those parties access information only to perform services for us and are contractually obligated to protect data. Their use is also governed by their respective privacy policies.
Job postings are retrieved from independent sources; we do not control employer privacy practices. Review each employer's privacy notice before submitting applications.
7. Cookies and similar technologies
We and our partners may use cookies, local storage, and similar technologies to operate the Services, remember preferences, measure performance, and secure sessions. You can control cookies through browser settings; disabling certain cookies may degrade functionality.
8. Retention
We retain information only as long as necessary for the purposes above, including caching to improve latency (for example, short-lived storage of normalized search results), legal compliance, dispute resolution, and enforcement of agreements. Resume parses or generated documents may be retained in cache for limited periods defined by our infrastructure configuration; you may request deletion where applicable (see Section 10). Aggregated or de-identified data may be retained without time limit.
9. Security
We implement administrative, technical, and organizational measures appropriate to the risk, including encryption in transit where supported, access controls, and vendor diligence. No method of transmission or storage is completely secure; you use the Services at your own risk beyond our reasonable safeguards.
10. Your privacy rights
Depending on your jurisdiction, you may have rights to access, rectify, erase, restrict, or object to certain processing, or to data portability. Residents of the European Economic Area, United Kingdom, and Switzerland may lodge complaints with a supervisory authority. California residents (summary). The California Consumer Privacy Act, as amended ("CCPA"), may grant rights to know, delete, and opt out of certain "sales" or "sharing" of personal information. We do not sell personal information for monetary consideration. We may disclose information to advertising or analytics partners in ways that constitute "sharing" for cross-context behavioral advertising under California law; you may submit opt-out requests as described below. You will not receive discriminatory treatment for exercising CCPA rights.
11. International transfers
We may process and store information in the United States and other countries where we or our vendors operate. Where required, we implement appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms for transfers from the EEA, UK, or Switzerland.
12. Children
The Services are not directed to individuals under 16 (or the age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected such data, contact us for prompt deletion.
13. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date reflects the latest revision. Material changes may be communicated through the Services or by email where appropriate. Continued use after posting constitutes acceptance of the revised Policy unless prohibited by law.
